Terms and Conditions

These are the terms and conditions of the bike guide and the walking guide.

The bike guide and the walking guide reserve the right to amend these terms and conditions.

General

These terms and conditions apply to all bookings.

 

The customer

  • These terms and conditions apply to any legal entity, including businesses, government agencies, schools, etc., or any individual acting on their own behalf or on behalf of a group, whether organised or not.
  • In our terms and conditions, we refer to the customer as the main booker. The main booker is responsible for the other participants in a bike or walking tour for which they have confirmed the booking.

 

Bike tours & walking tours

  • You can book a bike tour with the cycling guide. You can book a walking tour with the walking guide. A booking is confirmed once the person making the booking has agreed to it in one of the following ways: via an online booking, a telephone booking or a booking by email.

 

Prices

  • The prices listed on the website include the guide’s services and the organisation of the tour.
  • The prices quoted are for private tours for groups of 8 or 10 people (see details for each tour) up to 45 people. Prices for ‘à la carte’ tours that require specific preparation may vary. For larger groups (45 people or more), we charge an additional 10% ‘organisation fee’ on top of the total amount.
  • Bookings will be invoiced in accordance with the rates and terms and conditions in force at the time of booking.
  • Our prices are quoted in euros, excluding VAT. A 21% VAT charge applies to our tours; for extras (drinks, lunch, snacks), we charge 0% VAT.

Payment

  • Payments for bookings must always be made to bank account number BE05 7310 4905 3275 in the name of the bike guide, clearly stating the name and date of the booking.
  • We will issue the final invoice no later than 8 days before the scheduled tour.
  • Invoices must be paid before the tour begins.
  • Please see ‘Changes / Cancellation’ below regarding the administrative fee charged during the period between the issue of the final invoice and the scheduled tour.

Be on time

  • Participants in a tour are expected to arrive at the meeting point at least 10 minutes (walking tour) to 15 minutes (bike tour) in advance.
  • Bike tours start in Spiegelstraat between numbers 8 and 10, unless otherwise agreed with the customer. The exact departure point is always stated in the confirmation email.
  • Walking tours start in Spiegelstraat between numbers 8 and 10 or at a location of your choice in the city centre. Please refer to the details in the confirmation email.
  • If the customer is running late, they should notify the guide by telephone.
  • If the tour starts later than planned, it will be shortened. In most cases, the finishing time cannot be brought forward.

 

Use of rental bikes & equipment

  • The main booker and fellow participants must ensure that the rental bike is in good working order on departure. They must return the bike in the same condition.
  • The bike must always be locked when not in use. The customer is liable for any theft or vandalism of the rental bike and is obliged to report such incidents to the police.
  • If the bike key is lost, the customer will be charged 20 euros.
  • The replacement value of the bike is €850. If you cause damage to the bike, we will work with you and/or your insurance company to find a solution. Any damage caused by you will be charged to you.
  • A helmet is provided free of charge. Customers are free to choose whether or not to wear a helmet during the tour.
  • The main booker and the other participants are responsible at all times for complying with the traffic regulations. Any fines resulting from a failure to comply with the traffic regulations must be paid by the participants themselves.
  • De fietsgids – de wandelgids has not taken out accident insurance, theft insurance or third-party liability insurance. The main booker and the other participants must rely on their own insurance in the event of any accidents.
  • On some tours, we provide equipment such as games and umbrellas. Please treat these items with care. You will be charged for any damage caused by you.

 

Gift voucher

  • Did you receive a gift voucher from family, friends or colleagues? Or did you win a gift voucher in a competition or at an event? Please note that you can only use a gift voucher for a group booking of at least 8–10 people (see details on the specific tour pages). The value of the voucher will be deducted from the total amount.
  • Please hand over the gift voucher or code to the guide at the start of your tour.
  • Gift vouchers are valid until the expiry date stated on the voucher.
  • A gift voucher cannot be exchanged for cash.

 

Cancellation or change to the number of participants

  • If you wish to cancel your tour, please contact us as soon as possible via info@defietsgids.be or by telephone 0032/474.930.941.
  • Any cancellation or change to the number of participants after the tour has been confirmed and less than 8 days before the scheduled tour date will incur an administration fee of €50. If you cancel less than 72 hours in advance, you will be required to pay the full amount.

Suspension / termination

  • De fietsgids & de wandelgids may cancel the booking in the event of circumstances caused by third parties and/or beyond its control.
  • The booking may be cancelled if the main booker fails to fulfil their obligations, or fails to do so in full or on time. In such cases, the main booker must pay compensation in the form of a cancellation fee.

 

Liability

  • We do our best to ensure our tours are safe. Please be aware that it is your responsibility to follow the traffic rules and the guide’s instructions.
  • Participation in a bike or walking tour is entirely at your own risk. De fietsgids & de wandelgids accept no liability for theft, injury or any other damage arising from participation in a tour.
  • The principal bookkeeper indemnifies de fietsgids & de wandelgids for any claims by third parties who suffer damage as a result of a tour. All costs and damages to third parties are at the main booker’s expense and risk.

 

Disputes

Any disputes arising from any challenge to these terms and conditions or any claims for damages shall be subject to the jurisdiction of the competent court in Mechelen.
